User Guide: Sales Quotation Invoice Screen - Sales System Smart Pro ERP
Accessing the Sales Quotation Invoice Screen:
- After logging into the system, navigate to the sidebar menu.
- Click on "Sales System" in the menu.
- Select the node "Operations - Sales Quotations".
Adding a New Sales Quotation Operation:
General Steps:
- Click on "New" to start a new sales quotation invoice operation.
- Enter the operation data in the required input fields.
- Press "Save" to save the data.
Detailed Step-by-Step Instructions:
1. "New" Button:
- Steps:
- Click on the "New" button to start a new sales quotation invoice operation.
- The input fields on the screen will be initialized where you can enter the details of the new operation.
- Enter the required information in the mentioned input fields (Number - Branch - Warehouse - Customer - Payment Method - Quotation Start Date - Quotation End Date).
- Click on "Save" to save the operation.
2. "Save" Button:
- Steps:
- After entering the operation details, click on the "Save" button.
- The operation data will be saved in the Sales System.
3. "Print" Button:
- Steps:
- After saving the operation, display it and click on the "Print" button.
- A report containing the operation details will be printed.
4. "Delete" Button:
- Click on the delete button to completely delete the invoice operation.
5. "Search Items" Button:
- Steps:
- Click on the "Search Items" button or press F12 on your keyboard and enter search information to find the required items.
6. "Retrieve Data" Button:
- Steps:
- Click on the "Retrieve Data" button.
- The data of the last sales operation saved in the system will appear, where you can modify it, cancel it, or undo the action.
7. "Additional Options" Button:
- Fill in the required fields (Discount Amount - Statement - Reference)
Table for Data Display:
- This table is used to display the details of items involved in the sales quotation operation in an organized manner. You can click on the item name column to select the required items.
Delete Button in the Table:
- You can use the delete button located at each row in the table to delete the selected item from the sales invoice.
Specifications and Data Displayed in the Table:
- Table rows consist of the following columns, which include the following data for each item:
- Item Code: Displays the item code.
- Item Name: Displays the item name.
- Unit: Displays the unit of measurement for the item.
- Quantity: You can enter the quantity to be sold.
- Unit Price: To enter the unit price for the item.
- Total: Calculated automatically based on quantity and unit price.
Adding and Editing Items in the Table:
- Select the required item from the dropdown list.
- After selecting the item, it will be displayed in the table with its data.
- You can modify the quantity and unit price as needed.
- You can also use the delete button located in each row to delete the item from the operation.
Navigation and Search Keys:
- Use the following keys to navigate and search within the sales invoice screen:
- >: To move to the next record.
- <: To return to the previous record.
- >]: To move to the last saved operation.
- [<: To move to the first saved operation.
- 🔍: To search using the operation number you want to review or view.
