User Guide for Receipt Voucher Screen in Smart Pro ERP Finance System:
- Log in to the Smart Pro ERP Finance System using your credentials.
- Once logged in, navigate to the Vouchers menu which contains the Receipt Voucher screen.
- Click on - "New": Click this button to create a new receipt voucher.
- Branch Field: Select the branch associated with the receipt voucher from the available dropdown list.
- Payment Method Field: Select the payment method used in the receipt voucher, such as cash, check, bank transfer, etc.
- Cash Box Field: Select the cash box associated with the receipt voucher from the dropdown list, if this feature is available in the system.
- Cost Center Field: Select the cost center associated with the receipt voucher from the dropdown list, if this feature is available in the system.
- Voucher Number Field: The voucher number is assigned automatically based on a sequence defined in the system.
- Voucher Date Field: Select the date of the receipt voucher using the calendar available in the system.
- Description Field: Enter any additional information or description for the receipt voucher if needed.
- Amount Field: Enter the amount received in the receipt voucher.
- Employee Field: Select the employee responsible for the receipt voucher from the dropdown list, if this feature is available in the system.
- Print Template Field: Select the print template used to print the receipt voucher, if this feature is available in the system.
- Comments Property: Add any additional comments or notes if needed.
- Posting Property: Use this property to post receipt voucher data to the next accounting period.
- Once all required data has been entered, you can use the buttons available at the top of the page to perform the following actions:
- "Save": Click this button to save the changes made to the receipt voucher.
- "Delete": Click this button to delete the receipt voucher.
- "Print": Click this button to print the receipt voucher.
- "Retrieve Data": Click this button to retrieve previously saved data for the receipt voucher.
- "Export to Excel": Click this button to export receipt voucher data to an Excel file.
Navigation and Search Keys:
- Use the following keys to navigate and search within the receipt voucher screen:
- >: To move to the next record.
- <: To return to the previous record.
- >]: To move to the last saved transaction.
- [<: To move to the first saved transaction.
- 🔍: To search using the transaction number you want to review or view.
Receipt Voucher Table: Allows you to identify accounts, review, and edit them.
- Account Number: Displays the name of the financial account associated with the amount received in the receipt voucher.
- Account Name: Click on this field and a dropdown list will appear to select the financial account name associated with the amount received in the receipt voucher from the available accounts.
- Analysis Account: Refers to the financial analysis account associated with the amount received. The analysis account may be used to assign a classification or additional details to the amount.
- Description: Provides a field for entering additional information or details about the receipt voucher.
- Amount: Displays the amount received in the receipt voucher.
- Cost Center: If you have a cost control system that uses cost centers, this column can be used to specify the cost center associated with the amount received.
- Settlement: Refers to the settlement status of the receipt voucher, such as "Full Settlement" or "Partial Settlement".
By using these keys, you can manage receipt vouchers in the Smart Pro ERP Finance System efficiently and easily.
