User Guide for Branch Disbursement Voucher in Smart Pro ERP Finance System:
- Log in to the Smart Pro ERP Finance System using your credentials.
- Once logged in, navigate to the Vouchers menu and search for the "Branch Disbursement Voucher" or "Branch Disbursement Voucher" screen.
- Click "New" to create a new branch disbursement voucher.
- Branch Field: Select the branch associated with the branch disbursement voucher from the available dropdown list.
- Payment Method Field: Select the payment method used in the branch disbursement voucher, such as cash, check, bank transfer, etc.
- Bank Account Field: Select the bank account used for the disbursement transaction, if this feature is available in the system.
- Accounting Item Field: Select the accounting item associated with the branch disbursement voucher from the dropdown list, if this feature is available in the system.
- Voucher Number Field: The voucher number is assigned automatically based on a sequence defined in the system.
- Voucher Date Field: Select the date of the branch disbursement voucher using the calendar available in the system.
- Statement Field: Enter any additional information or description for the branch disbursement voucher if required.
- Amount Field: Enter the amount disbursed in the branch disbursement voucher.
- Employee Field: Select the employee responsible for the branch disbursement voucher from the dropdown list, if this feature is available in the system.
- Print Template Field: Select the print template used to print the branch disbursement voucher, if this feature is available in the system.
- Comment Feature: Add any additional comments or notes if required.
- Posting Feature: Use this feature to post branch disbursement voucher data to the next accounting period.
- Once all required data has been entered, you can use the keys available at the top of the screen to perform the following actions:
- "Save": Click this button to save the disbursement voucher.
- "Delete": Click this button to delete the disbursement voucher if required.
- "Print": Click this button to print the general disbursement voucher.
- "Close": Click this button to close the disbursement voucher screen and return to the previous screen.
- After saving, you can view current disbursement voucher records or search for a specific disbursement voucher using the search options available on the screen.
- Use the following keys to navigate and search within the disbursement voucher screen:
- >: To move to the next record.
- <: To return to the previous record.
- >]: To move to the last saved transaction.
- [<: To move to the first saved transaction.
- 🔍: To search using the transaction number you want to review or view.
Disbursement Voucher Table: Allows you to identify accounts, review, and edit.
- Account Number: Displays the name of the financial account linked to the amount paid in the disbursement voucher.
- Account Name: Displays the name of the financial account linked to the amount received in the disbursement voucher.
- Analysis Account: Refers to the financial analysis account associated with the amount paid. The analysis account may be used to assign a classification or additional details to the amount.
- Statement: Provides a field for entering additional information or details about the disbursement voucher.
- Amount: Displays the amount received in the disbursement voucher.
Using these keys, you can manage disbursement vouchers in the Smart Pro ERP Finance System efficiently and easily.
